Solution · shift work

Shifts, staffing and actuals in one place.

In shift work the plan and the actuals drift apart too often. In Kelomo a published shift creates the frame of the day, staffing gaps show up already in planning and rest periods are checked before the rota goes out.

Uses the shift planning add-on (€2/user/mo)

Shift work pain points

Where the everyday friction comes from.

  • The gap is revealed too late The staffing gap is often noticed only when the shift begins and there aren’t enough people on site.
  • Rest periods go unchecked Daily and weekly rest are easy to break by accident when shifts are moved by hand in a spreadsheet.
  • Swaps happen in messages Shift swaps are agreed in WhatsApp, and no trace stays in the system – nobody knows who is finally working.

In Kelomo the plan and the actuals are the same data: gap, rest period and swap show before they become a problem.

What Kelomo does in shift work

Shift templates and rotation

Localised shift templates for night shifts too, shifts at group and person level, ad hoc shifts and recurring shift rotation.

Staffing need and gaps

Concurrent presence and gaps at the time-window level – visible already before publishing.

Qualifications in planning

The right competence in the right shift: the required qualifications are part of planning.

Open shifts and swaps

Shift swaps and open shifts as employee self-service, with a single supervisor approval.

Rest-period checks

Daily and weekly rest (Working Hours Act §§ 25 and 27) advisory already at the planning stage.

Availability and fairness

The employee’s wishes and availability included, and a view of how the wishes have been met.

Rest periods and the collective agreement

Rest-period limits visible before publishing.

Kelomo checks the statutory rest periods already in planning, not only in payroll. The check surfaces the risk – the decision always rests with the supervisor.

  • Daily rest Continuous daily rest under monitoring (Working Hours Act § 25); the check flags if consecutive shifts leave the rest too short.
  • Weekly rest Weekly time off (Working Hours Act § 27) monitored during planning.
  • Period-based work The balancing periods and working-time caps of period-based work are taken into account in the calculation.

The checks are advisory: they do not block publishing, but support the supervisor’s decision.

FAQ

Shift work and Kelomo

01 Does Kelomo only show the gaps or help fill them?

Both. The gap shows at the time-window level already before publishing, and an open shift can be offered to employees who take it as self-service – with a single supervisor approval.

02 How are shift swaps and fairness handled?

Employees request swaps and offer open shifts in the app, and the supervisor approves. A fairness view shows how the wishes have been met for different people – transparency, not automatic allocation.

03 Does Kelomo check rest periods and the collective agreement limits?

Daily and weekly rest (Working Hours Act §§ 25 and 27) are checked advisorily already in planning. The check surfaces the risk but does not block publishing – the final decision is the supervisor’s.

04 Does it work across several sites with different rules?

Yes. Shift templates, staffing needs and qualifications are defined per team and group, so different units can have their own shifts and requirements.

05 Are the actuals created separately after the plan?

No. A published shift creates the frame of the day, which the employee confirms. The plan and the actuals are the same data, so a separate timesheet is not needed.

06 Is a separate add-on needed?

Shift planning is an add-on (€2/user/mo) only for the users who need it. Time tracking, confirmation and balances are included in the base price.
