Invoicing

From invoice draft to finished invoice.

Billable hours, payment milestones, change orders, expenses and purchases are gathered into invoice drafts by customer or project. An approved draft becomes a numbered invoice that goes to the customer from Kelomo – or an export batch to your own system.

  • Ready-made formats Netvisor, Procountor, Fennoa and Lemonsoft, plus a Finvoice file and a configurable CSV.
  • The batch locks the lines An invoiced or exported line is never duplicated. Cancelling a batch releases the lines back in a controlled way.
  • Billable utilisation in view See per person how much of their hours are billable – compared with the target.

Questions about sales and invoicing

01 Does Kelomo include a CRM?

Yes. Leads, a sales pipeline, activities, customer cards and sales reports are part of the sales module. The difference from a traditional CRM is what happens next: in Kelomo a won deal becomes a project and billing data in the same system.

02 Can we import existing customers and leads?

Yes. Customers, contacts, leads, projects and tasks are imported from a CSV file, and a new customer’s basic details can be pre-filled from the Finnish Business Information System (YTJ) with the business ID.

03 Does the invoice go to the customer from Kelomo?

Yes. Kelomo numbers the invoice and sends it as an e-invoice through an operator or as a PDF by email, issues a credit note when needed and tracks open, paid and overdue invoices with payment reminders. Bookkeeping stays in your finance system. You can also keep exporting the billing data to your own system.

04 Does my customer need an account?

No. Quotes and change orders are approved via a secure link. The decision, name and comment are stored in the project history.

05 Where do payment milestones come from?

Automatically from the quote’s sections, or added to the project by hand. A milestone is released to invoicing when the phase is done – or when its due date arrives.

06 What if the client rejects a change order?

The rejection and its reason are stored. You can reopen, edit and resend the change order – or drop the work. Nothing is invoiced without approval.
