Add-on

Build a roster that works in practice too

See staffing gaps and rest-period risks before publishing. You get fill and replacement suggestions for open shifts, each with a rationale – but you always decide yourself.

Shift planning view: shifts, staffing need and actuals in one view

What you get

Shift templates and rotation

Shift templates for night shifts too, group- and person-level shifts, ad hoc extra shifts and recurring rotation.

Controlled publishing

Preview the roster, publish selected shifts or the whole period at once – scheduled, too – and undo a publication when needed.

Staffing needs and gaps

See concurrent presence and gaps by time of day – even before publishing.

Skills and qualifications

The right person in the right shift: qualifications are part of planning.

Open shifts and swaps

Shift swaps and open shifts as employee self-service, with a single supervisor approval.

Rest-period checks

Daily and weekly rest are visible while you plan, before the roster goes out.

On-call standby

Standby periods are planned and compensated with their own rules, and call-out work is recorded as working time.

Per-shift messages

Discussion about a shift happens in the shift’s own thread, and the planner sees open questions in one queue.

Assisted automation

You get a proposal. You decide.

Fill open shifts within the rules and find a suitable replacement for an absence. Every proposal is an explained draft you can approve, edit or reject.

  • Automatic shift fill Open shifts fill in one pass – respecting rest periods, employment, qualifications and preferences.
  • Replacement suggestions for absences Eligible people ranked by suitability, no calling round the whole team.
  • An explained proposal You always see why this particular person is proposed for the shift.

The proposal is an aid to planning: it never publishes shifts itself – the decision always stays with the supervisor.

Recurring rotation

Build the rotation once.

Define a multi-week rotation pattern and each team’s starting point. Kelomo creates every period’s shifts as drafts automatically.

  • Multiple teams, one pattern Teams run the same pattern from different starting phases – continuous coverage without clashes.
  • Ready-made patterns or your own Start from four built-in rotations – 5–2, weekly rotation, 2-2-3 (Pitman) and DuPont – or build your own.
  • Fills in, never overwrites The rotation fills only empty slots and leaves manual changes untouched.

Community scheduling

Share shifts fairly – week after week.

Gather availability and preferences in one place and open shifts for sign-up. When several people want the same shift, Kelomo resolves the allocation with transparent rules – not by the fastest click.

  • Sign-up round Open the shifts, employees sign up, and the round settles fairly.
  • Fairness over time Kelomo tracks the burden of night, weekend and public-holiday shifts over the long run, and how often wishes are met.
  • A justified allocation The supervisor sees the reasoning for the allocation before confirming.

The roster and the law

A published roster is binding. Changes are deliberate and documented.

After publishing, the roster is the statutory shift roster referred to in the Working Hours Act. Kelomo keeps the changes, deliveries and history in order for you.

  • A reason and history for every change A change to a published shift is recorded with a reason, and earlier versions remain available for review.
  • Delivery and acknowledgement You see that a changed shift has been delivered to the employee – and can require an acknowledgement for shifts if you want.
  • The state at any moment The roster can be opened as it stood on any chosen day – for an inspection afterwards, too.

The roster can be exported as a report for an inspection under the Working Hours Act, section 30.
