Stock and parts

Track parts, record their use on jobs and manage stock transfers, counts and replenishment.

Updated

Open Field service → Inventory to see stock levels by location and the movements behind each balance. A stock location can be a warehouse, service vehicle or customer site.

Enable stock tracking for the items you need to monitor. Sales prices and costs are separate values, both used when calculating the margin on a job.

Record parts used on a job

Select the part from the item register and enter the quantity and stock location. Saving the entry reduces the stock balance. Deleting the parts entry returns the quantity to stock.

Kelomo checks the balance when you save. If another user has already recorded the last available part, your entry cannot be saved. Check the quantity and stock location before trying again.

Part costs

Stock valuation uses a moving average cost. The quantity and cost of incoming parts update the average at that location. The cost of a part used on a job is recorded with the entry, so you do not need to enter it separately each time.

Transfer parts between locations

Create a transfer and select the source, destination, parts and quantities. Send the transfer when the parts leave and receive it at the destination when they arrive.

If fewer parts arrive than were sent, enter the actual quantity received. The difference is recorded as a separate adjustment, so both the transfer and the shortfall remain visible in the movement history.

Count stock

Enter the quantities you have counted. Kelomo shows any differences from the stock balances. Posting the count updates the balances with adjustments. If you make a separate stock adjustment, you must give a reason.

Leave uncounted items blank. Zero means you checked and found no stock of that item. Posting a stock count requires field-service administration permission.

Plan replenishment

The replenishment view lists items at or below their minimum stock level. Set minimum and target levels for each location to see what needs restocking, for example in each service vehicle.
