Request leave or report an absence

Making a leave or absence request, attachments, following your leave balance, and withdrawing or postponing a leave.

On the Time off page you request leave and report absences: “Plan leave and absences — see the effect instantly, before you submit.”

Not every absence goes through your manager. Some types are requests that wait for a decision. Some are notifications that are approved immediately without a manager’s decision. The type you choose determines which one you are making, and the submit button changes with it.

Make a request

  1. Open Time off. Paint a period onto your own row on the board, or press New request.
  2. Choose the Type and the Starts and Ends dates.
  3. Mark half days if you need to. When the start and the end are the same day, the option is Half day. On a longer period the options are Half first day and Half last day.
  4. If you like, write a Reason (optional)“Optional message to your manager”.
  5. Read the preview. It shows the effect before you submit.
  6. Press Submit for approval or Notify. If you want to continue later, press Save draft.

Submitting is blocked if some obstacle applies. The preview tells you which one.

Attach a certificate

Under Attachments you can add, for example, a medical certificate: “Attach e.g. a medical certificate. Visible only to you, the deciding manager and the admin; after the decision attachments can no longer be changed.” The maximum size of a single file is 25 MB.

Attachments can only be edited before the decision, so attach the certificate to the request itself.

Follow your balance

The Leave balance row shows your balance as chips: Annual leave, Additional leave days, Free time, Saved leave and Bonus leave. Press a chip and the Balance breakdown opens, showing you what the figure is made of.

The row shows leave balances only. Your flexitime balance and working-time reductions do not appear on this row – they live in balance accounts, see Balance accounts.

Withdraw or postpone

The status of a request is always visible: Draft, In approval, Approved, Rejected, Cancelled or Withdrawn. What you can do depends on the status.

Postpone leave is the postponement of annual leave under section 25 of the Annual Holidays Act. Choose the day from which the leave is postponed.

If something goes wrong

A working day cannot be confirmed. While a request is waiting for a decision, the days in the period cannot be confirmed in time tracking: “While the request is being decided, the days in the period cannot be confirmed in time tracking.” The same day cannot be both work and time off. The day is released for confirmation once the request is rejected or withdrawn. See Confirm your working day.

An approved whole day off needs no confirmation from you. When the request is approved, whole days off are confirmed along with the decision — there is nothing for you to do with them, and they reach payroll like any other day. Days off still ahead are confirmed as each one ends. A half day stays yours: record and confirm the half you worked as usual.

Balance-based time off can only be taken as whole days. If the time off consumes a balance account – a working-time reduction or a working-time bank, for example – a half day is not possible. Choose a whole day or take the time off as a different kind of absence.

An attachment should be replaced after the decision. Attachments can no longer be edited once the decision has been made. Contact your manager.
