Create and schedule a report

Choose a report, check its filters and download a file. Save a frequently used view or schedule email delivery.

Updated

Open Reports. Reports are grouped by topic, and you can search by name or description. The reports available depend on your permissions and the features enabled for your organisation.

If you are unsure which report you need, see the report directory.

Create and download a report

  1. Choose the report.
  2. Check the period or reporting date. Use the available filters to select an employee, staff group, unit or project if needed.
  3. Review the content and any warnings about missing data.
  4. Download the report in one of the available formats.

File formats vary by report. Many reports offer PDF, Excel and CSV files, but the working-time monitoring table, for example, exports as CSV. Available formats are shown for each report.

Also check what the figures are based on. Unconfirmed days may be missing from working-time calculations. A payroll period report uses the selected export batch’s saved calculation, so a report showing current entries may differ from it.

Save a frequently used view

Where Save view is available, you can give the view a name and save it. It will appear under Saved views on the Reports page.

A saved view is a shortcut to a report, not an archived copy of its data. Check the filters, especially the dates, when you reopen it. Keep the downloaded file if you need exactly the same report later.

Schedule email delivery

Open My schedules from the user menu and select Add schedule.

  1. Choose the Report. The list shows the reports you can schedule.
  2. Select a group filter, if available, and the Format.
  3. Choose the Recurrence: Daily, Weekly or Monthly.
  4. For weekly reports, choose a Weekday; for monthly reports, choose a Day of month. Set the Hour as well. The send time uses the organisation’s time zone.
  5. Check any extra recipients and save the schedule.

A period-based report normally covers the previous completed day, calendar week or calendar month. For example, a weekly report sent on Monday covers the preceding Monday to Sunday. Not all reports use this range: a balance report may use a reporting date, while annual leave bookkeeping uses a leave year. Check the period stated in the report.

Recipients and access to data

The report is sent as an attachment to the schedule creator’s email address. Its content follows their permissions at the time of sending.

Administrators and users with the payroll role can add up to five addresses under Extra recipients. Recipients receive the report’s data in the attachment, so add only people who should have it. Adding a recipient does not give them access to the app itself.

Extra recipients of the absence report and people report must be active users in the organisation. These reports cannot be scheduled to an external address.

Change a schedule or resolve a delivery problem

On the My schedules page, you can edit a schedule, pause deliveries and resume them later. Deleting a schedule stops future deliveries but does not remove reports already sent.

If a report does not arrive, check the schedule’s status and any delivery error. Also make sure the creator’s account is active and they still have permission to access the report. The page shows a notice if email delivery is unavailable. You can create and download the report manually if needed.
