Approve working time

Approvals is one prioritised queue holding everything you have to approve. Routine items can be approved in bulk; the rest are decided one at a time.

TeamApprovals is one prioritised queue holding everything you have to approve: work time, expenses, trips, leave, swaps, open shifts and training. There are no separate approval views for different item types.

You can follow how your team is doing in the Team section, but approval always happens in the queue.

Work through the queue

The queue has two sections:

  • Needs attention – items where Kelomo has spotted something worth a look.
  • Ready to approve – the rest.

The order is always the same: items needing attention first, then oldest first.

The type chips filter the queue to one kind at a time, for example trips only. There is no free-text search in the queue.

When the queue is empty, the page says All approved.

Approve routine items in one go

Approve routine ({n}) approves in bulk only the items Kelomo has established as routine:

  • a work week with no deviations where every day is confirmed
  • expenses and trips with no remarks.

Everything else stays in the queue for you to decide.

Leave, swaps, open shifts and training never go in bulk. They are always decided one at a time, also when you press Approve routine.

Undo a decision

After a decision, Undo shows for about ten seconds. If you undo within that window, the decision is not written at all.

Leaving the page writes the batch. If you navigate away or close the tab while the Undo window is running, the decisions are written as they are. So wait a moment if you intend to undo.

Return to the employee

Return requires a reason: “Tell the employee why…”. The employee sees the reason in their week view and corrects the day on that basis. See Correct a day you already confirmed.

Return when only the employee knows what really happened. If you know yourself what is wrong, correct the day.

If something goes wrong

You cannot find your own working time in the queue. You cannot approve your own working time. An administrator can do it as a deliberate exception, and it is logged. Agree with your administrator on who approves your own days.

The approval queue does not show at all. The payroll role does not see the approval queue. Approval is done by a supervisor or an administrator – only an approved day reaches the payroll material.

Approval does not go through. Check whether the payroll period is locked. The lock also stops approval. Ask payroll to lift the lock – see Close the payroll period.

A leave request stays in the queue after bulk approval. That is by design. Open the request and decide it – see Handle leave requests.

You are on leave yourself and cannot get to the queue. Set a substitute: Set a substitute while you are on leave.
