Custom fields let you record additional sales information, such as an industry, contract number or warranty end date. They appear in forms and lists but do not affect calculations.
They are defined on Settings → CRM → Custom fields. The page requires the CRM administration right. Saved values show on the record under Additional details.
Choose where to use the field
Use the selector at the top of the page to choose where to add the field: Customer, Contact, Lead or Deal. Fields for customers, contacts, leads and deals are configured separately. Each of these groups can have up to 50 active fields, arranged in its own order.
Add a field
Choose Add field and enter the following details:
- Name in all three interface languages. Write the name in your own language; languages left empty are filled with the same text, and you can correct them later.
- Key (lower-case letters, digits and underscores). The key is stored with the data and is permanent – it cannot be changed after the field is created.
- Type: Text, Number, Date, Choice, Multiple choice, Yes/no or Web address. The type is permanent too.
A text field holds 1000 characters.
Options
Choice and Multiple choice need at least one option. Every option has a name and a permanent key, and you can use the arrows to change the order. There can be at most 100 options, and a multiple-choice field accepts at most 50 selections at once.
Behaviour
- Required. A value is required when the record is saved from a form. Previously saved records are kept even if the required field is empty.
- Show in list. The field gets a column of its own in the list views – in the customer register, for example. Keep the number of columns modest so the list stays readable.
The order of the fields on the form is the order of the list; Move up and Move down change the order.
Disable or delete
- Disable removes the field from forms and lists, but values saved earlier are kept. The field can be enabled again later. Choose this option to keep earlier data.
- Delete removes the field permanently, and it cannot be undone. If the field has stored values it cannot be deleted. Disable it instead.
If something goes wrong
| Situation | What you see | What you do |
|---|---|---|
| A new field cannot be added | “The maximum has been reached” | Each group can have up to 50 active fields. Disable one before adding another. |
| The key or the type cannot be changed | The field is locked | The key and the type are locked at creation. Create a new field and disable the old one. |
| The field cannot be deleted | The field cannot be deleted | The field has stored values. Disable it instead – the values are kept. |
| The save is rejected on a form | “Check the highlighted fields — the additional details were not saved.” | A required custom field is empty or a value is invalid. Fill it in, or make the field optional in the settings. |
