You can find quotes under Sales → Quotes and Projects → Quotes. Create a quote from scratch, from a deal or from a saved template.
Add the content
- Choose New quote, enter a title and select the customer and the contact the quote is addressed to.
- Add work, item and expense lines. Enter a description, quantity, unit, unit price, discount and VAT for each line. You can group lines into sections with their own headings.
- Write the cover note and review the terms prefilled from the quote settings.
Use the description field to search for saved items and their prices. Manage items under Settings → Invoicing and prices → Items. An admin sets the default terms under Settings → Invoicing and prices → Quote settings.
Changes are saved automatically to the draft. The quote expires after its Valid until date.
Internal margin
The Unit cost (€) on each line is used to calculate the quote’s margin. Costs and margins are visible only to your organisation, not in the customer’s quote view or the PDF.
Send to the customer
Send to customer locks the quote’s content and creates a link for viewing it. Send the link by email from Kelomo or copy it and share it yourself. The customer can open the quote without signing in, download a PDF and choose Accept the quote or Decline. Their response is recorded in the quote’s history, and the sender receives a notification.
- Preview shows how the quote will appear to the customer. Choose Finnish, Swedish or English as the quote’s language.
- Reopen for editing returns a sent quote to draft and disables the customer’s link. Send the revised quote again.
- If the customer accepts by phone or in a meeting, record the acceptance with Mark as accepted.
Create a project from an accepted quote
Choose Convert to project. The quote’s estimated work becomes the project’s hours budget, and the net total becomes its financial budget. For a fixed-price project, the net total is also the contract amount.
You can choose to create project phases from the quote’s sections, with a budget for each phase. Phases are not created unless you select this option. For a fixed-price project, you can also create payment instalments from the sections.
You can mark the linked deal as won at the same time. Alternatively, link the quote to an existing project for the same customer and add the accepted quote’s content to that project instead of creating a new one.
Quote templates and hit rate
Save as template saves the content for reuse. Open the Templates tab, select a template and a customer, and create a new quote.
The quote list’s Quote hit rate shows the percentage of decided quotes that were accepted, broken down by month.
