Open Projects and select New project. You can also create a project from an accepted quote, using its customer details and agreed pricing as a starting point.
Set up the project and team
- Name the project and select a customer. You can also create a customer here.
- Choose a billing model: Time & materials, Fixed price, Retainer or Non-billable. Fill in the details the model requires, such as the contract amount or recurring fee.
- Add people in the Team section of the Overview tab. Check the dates of each person’s assignment.
- Set the project schedule and, if needed, a budget in hours and euros.
An administrator or the project owner with the required project management permissions can edit the project settings and team.
Add tasks and phases
Create tasks on the Tasks tab. Assign an owner, estimate the hours needed and set start and due dates. Depending on your organisation’s settings, you can view the same tasks on a board, in a list, on a calendar or on a timeline.
To track parts of the project separately, divide the work into phases. Each phase can have its own schedule and budget, and people can record hours against it. Create phases in the Timeline view on the Tasks tab; they also appear in the project overview. See Divide a project into phases.
Record project hours
When recording working time, the employee selects the project and, where needed, a phase or task. There is no need to enter the same hours again in project management.
Hours count towards project actuals once the working day is confirmed. Approved days and days locked for payroll export are also included. Draft days do not count yet.
Hours shown in actuals are not necessarily ready to invoice: approval, pricing and billing settings also affect what can be billed. Your permissions determine whether you can see costs and margin. See Project finance.
