An entry link makes it easier to record time for a shared activity, such as a meeting. It contains a project, phase or task and indicates whether the work is billable. You can also include the meeting’s date and times.
Opening the link does not save any working time automatically. Each participant checks and saves their own entry.
Create and share a link
- Open the project’s action menu and select Entry link…. Choose a phase if needed; Whole project leaves the phase unselected. You can create a task-specific link from the task card’s action menu.
- Check the Billable setting. Add a date and start and end times if needed.
- Select Create and copy the link. Paste the address into a calendar invite, team channel or support request.
The address is shown only when the link is created. Keep a copy before closing the window. If automatic copying fails, copy the address manually. If you lose the address, you will need to create a new link.
Creating links requires read access to projects. To create a task-specific link, you also need access to that task. The selected project, phase or task must be available for time entries.
A link without a date can be reused. The entry then uses the date on which the link is opened. If you include only start and end times, those times are prefilled on each use.
Record your own working time
Open the link and sign in to the organisation where it was created. Kelomo opens Working time and prefills the new entry using the link. Check the date, hours and other details before saving.
In the weekly table, the selected project, phase or task is added as a row. Enter the hours in the correct day’s cell and check whether they are billable. Adding the row alone does not record any hours.
The saved entry is a draft. The day is then confirmed and, if required, approved according to your organisation’s process. A day that is already confirmed must be reopened for editing before you can add an entry.
You can use a link to record time against a task that is not on your own task list. The link does not grant general access to the project’s information.
Disable a link
Project links are listed in the entry-link creation window. Revoke disables a link immediately. A link can be revoked by its creator, the project owner or an administrator with read access to projects.
A dated link expires 60 days after its specified date. A link without a date has no automatic expiry.
A link cannot be used if the project is closed, its phase is locked or no longer available, or the task is completed, cancelled or archived. If a link does not work, check which organisation you are signed in to. If needed, ask its creator for a new link to a suitable project, phase or task.
