Resourcing and workload

Plan weekly project bookings and compare the workload with the time each person has available.

Updated

Book hours to plan how much time each person will spend on a project each week. Bookings are a plan: they do not create time entries or change shifts.

Book time for a project

  1. Open the project’s Overview and find the Team section.
  2. Expand Bookings and select the period.
  3. Enter weekly hours for each person. Book time for the whole project or a specific phase.

Fill row (copy first week) copies a person’s hours from the first visible week to every visible week. It replaces existing bookings for those weeks in the selected project or phase, so check the period before confirming.

The grid also shows the person’s other project bookings and available working time. Estimates for open tasks help you judge whether the booked hours will cover the planned work. Editing bookings requires permission to manage the project.

How capacity is calculated

Capacity is scheduled working time minus approved absences. Working time comes from published shifts or the working time model. The calculation also takes account of employment dates and days off defined by the model.

Pending absence requests are shown separately. They do not reduce capacity until approved. If a person has neither a working time model nor published shifts, capacity is unknown, not zero.

Review workload across projects

Projects → Workload shows each person’s weekly workload. Task estimates are spread over their scheduled dates, with booked project hours shown separately for comparison. Do not simply add these figures together: they may represent the same work in two different ways.

Compare the workload with capacity and check warnings about excessive workloads. Also review tasks with no schedule or assignee, as their hours cannot be allocated to people’s weeks in the same way.

Expand a person’s row to review their tasks and change an assignee if your permissions allow it. Edit hour bookings in the project overview, which you can open through the project link. The people and projects shown depend on your access rights.

Check project schedules

Projects → Timeline shows active projects with start and end dates. Within a project’s own timeline, you can review tasks, phases and milestones. You can record a reason for a schedule change for future reference.
