Project templates and task fields

Reuse project templates to plan recurring work and add the information you need to task cards.

Updated

A project template saves time when new projects need the same phases, tasks and milestones. Manage templates under Settings → Projects → Project templates. Custom task fields let you add information your organisation needs on task cards.

Save a project as a template

Select Save as template from the project’s action menu and name the template. It includes phases, tasks, checklist items, tags and dependencies between tasks, along with details such as task descriptions and hour estimates. Archived and cancelled tasks are excluded.

Set the project’s start date before saving if you want to retain the schedule and milestones. Dates are stored relative to that start date. For example, a task due seven days after the start will have the same timing in the next project. Without a start date, phases and tasks are saved without a schedule, and milestones are left out.

The template copies the structure of the work, not the project’s recorded hours, conversations or files. Existing task assignees are not carried over. You can define roles on the template’s tasks, such as project manager or technician, and assign people when creating a new project.

Create a project from a template

Select a template on the new project form and enter the project’s start date. Kelomo uses that date to schedule the template’s phases, tasks and milestones. Assign people to the template’s roles as needed.

Review the new project’s tasks, assignees and schedule. You can adjust them to suit the project. Later changes to the template do not affect projects already created from it.

Managing templates requires project management permission. Saving an existing project as a template also requires permission to manage that particular project.

Add custom task fields

Create fields under Settings → Projects → Additional fields. A field can hold text, a selection from a list, a date or a link, for example. Then choose in the project settings which fields appear on that project’s tasks.

Select, multi-select and checkbox fields can be used to filter tasks. Select fields also support grouping. For example, a service-type field can help you review similar work together.
