Task management

Create project tasks, assign owners and plan the schedule. Track progress and manage recurring work.

Updated

Use the project’s Tasks tab to plan work and track progress. Board, list, calendar and timeline views are available depending on your organisation’s settings. Your permissions determine which tasks you can see and edit.

Create a task

Add a task to a board column or press n to open quick add. For example, Prepare quote #sales @Anna tomorrow lets quick add recognise the tag, suggest an assignee and set the due date. Check the selections before saving.

Add the details the task needs:

  • an assignee, priority, phase and milestone
  • start and due dates and an estimate in hours
  • a description, attachments, tags and custom fields
  • a checklist, with separate assignees and due dates for individual items
  • dependencies: tasks that must finish first or that depend on this task.

The task card keeps the conversation and change history together. Select Watch to receive task notifications without becoming the assignee.

Track progress

Board columns represent the status of the work. You can name them yourself, but each column’s category determines whether its tasks count as planned, in progress, done or cancelled. This affects reports and completion percentages. You can also set a limit that warns when a column has too many tasks in progress.

With time tracking enabled for a task, employees can select it on their time entries. Hours from confirmed days appear on the card alongside the estimate. Project settings determine whether time tracking applies to all tasks or is enabled individually.

Organise your views

Group the board or list by assignee, priority, phase, tag or due date. Save a set of filters as a personal view or share it with the project.

Press x to select multiple tasks. You can move the selected tasks to another status, change their assignee, add tags or archive them together. Completed tasks can also be archived automatically through the project settings. Archived tasks can be restored.

The timeline from the keyboard

Tab to a task, phase or milestone on the timeline. Alt + ← / → moves it one day at a time. Alt + Shift + ← / → changes only its end date. Enter opens it for editing, and L starts linking a dependency.

Recurring tasks

Open Recurring and create a rule for work that repeats. Tasks can be created daily, weekly or monthly, or only after the previous task is completed. You can include a checklist and tags in the rule.

Requests and your own tasks

Use Projects → Inbox to handle requests from customers and colleagues. A request can become a task in a selected project, a quote or a sales lead. Record a reason if you reject a request.

My work → Project tasks brings together your tasks across projects. It also includes tasks where you own a checklist item or take part in the conversation. The project’s visibility setting can allow team members to see all its tasks; project membership alone does not always give access to the full task list.
