Complete these settings before your first invoice. Open Invoicing from the main menu to manage invoices, billable work and accounts receivable.
1. Enter the seller’s details
Open Settings → Invoicing and prices → Own invoicing. Enter the invoice issuer’s legal name, business ID, address, IBAN and BIC. These details appear on invoices and are included in e-invoices. Check them with your accountant if needed.
You can add a logo and standard text for the end of each invoice. If you invoice on behalf of several organisations, create a seller profile for each one.
2. Set up numbering and payment terms
The number series defines the invoice number format and the next available number. A number is assigned when you issue the invoice. Numbered invoices cannot be deleted; use a credit note to make corrections.
Set default payment terms, such as 14 days net, along with late-payment interest and any reminder fee. Terms saved for a customer override the default. You can also select terms for an individual invoice.
3. Choose the delivery method
Kelomo sends e-invoices through Maventa or PDF invoices by email. E-invoicing requires your company’s own Maventa account; see E-invoicing through Maventa. Email delivery does not require an operator agreement.
Enter the customer’s e-invoice address and billing email in the customer register. If there is no e-invoice address, Kelomo suggests email delivery.
4. Grant invoicing permission
Issuing, sending and crediting invoices, and managing receivables, require invoicing permission. You can grant it to the person handling invoicing without giving them access to payroll data.
On the person’s card, open Access and licences → Additional grants → Invoicing (without payroll). The admin and payroll roles already include this permission.
A project manager can review their project’s billable work and choose what to bill without invoicing permission. A user with invoicing permission issues and sends the invoice.
5. Check your first invoice
The Invoices tab shows any missing seller details. Once the settings are complete, create a draft from recorded work or create a blank invoice and add the lines yourself.
Check the first invoice’s details and recipient before sending it. Then follow its delivery status and resolve any sending errors.
