E-invoicing through Maventa

Connect your company's Maventa account to Kelomo, complete the signature, move from test mode to production and follow e-invoice delivery.

Updated

E-invoices are sent from your company’s own Maventa account. The agreement is between your company and Maventa, and Maventa bills the transmission directly per its price list. Kelomo connects the account and handles the sending.

The connection is made per invoicing profile. If you invoice under several issuers, connect an account for each profile.

1. Connect the Maventa account

Your company needs a Maventa account. The account is opened on Maventa’s own website, and Maventa bills your company directly for e-invoices according to its price list.

Open Settings → Invoicing and prices → Own invoicing and go to Delivery. If there are several invoicing companies, first open the right one under Invoicing companies. Under E-invoices, choose Connect Maventa account and enter the Company identifier (UUID) and the User API key. They are in Maventa under Settings → Company information.

The card shows the connected company’s name and the connection status.

2. Sign the authorisation

A new account needs the signatory’s signature before the first sending. Choose Send signing request and enter the signer’s email. Maventa sends the request, and the signer authenticates strongly in Visma Sign.

The card’s status changes once Maventa has verified the company. You can read the status right away with Check status. If the request is cancelled, send a new one.

On an existing account the signature is usually already done, and the connection is ready immediately.

3. Test mode and production

The Test mode switch routes the profile’s e-invoices to Maventa’s test environment, and the customer does not receive them. The test environment and production have separate Maventa accounts, so the connection and the signature are done for each separately.

When you turn test mode off, the card shows the production account’s status. Connect the production account and complete its signature before the first e-invoice that goes to a customer.

4. Print service

A customer without an e-invoice address can receive the invoice as a letter through Maventa’s print service. Turn Print service on in the Maventa account card. The letter is printed from Kelomo’s invoice, and the letter’s price is in Maventa’s price list.

When the print service is off, Kelomo stops the letter delivery before the invoice leaves.

5. Send an e-invoice

Fill in the customer’s e-invoice address and intermediator code on the customer card. You can look them up by business ID. Standard attachments and the invoice PDF travel with the e-invoice.

Choose Check e-invoice in the invoice’s delivery section before sending. Maventa checks the invoice and shows its remarks without sending anything.

The delivery status is shown on the invoice and in the invoice list. If Maventa rejects the invoice or the delivery fails, the invoice is in the Delivery failed queue. Fix the cause and choose Try the delivery again: the invoice keeps its number and is not booked at Maventa twice.

A payment reminder is sent by email or marked as delivered by hand.

6. Connection test, credential change and disconnecting

Test connection reads the account status and the print service setting from Maventa. If the test fails because of a connection error, the connection stays as it was.

When you change the API key in Maventa, choose Update credentials on the card and enter the new key. The connection and the signature are kept.

Disconnect removes the connection from Kelomo. The account stays in Maventa and can be connected again later. If invoices are being sent at that moment, Kelomo shows their number before disconnecting.
