You can invoice without previously recorded hours or expenses. On the Invoices tab, create a recurring schedule, a blank invoice or an advance invoice.
Recurring invoicing
Recurring invoicing creates drafts automatically according to your schedule. Set the customer, invoice lines, frequency and creation date. Invoices can recur weekly, monthly, quarterly or yearly.
Use this for monthly fees, maintenance agreements or fixed service charges. You can also include the period’s billable hours and expenses so that the contract fee and completed work appear on the same invoice.
The schedule creates a draft that must be reviewed and issued before sending. The run history shows previous drafts. Run now creates a draft immediately. Before using it, check that the period has not already been invoiced or included in a draft.
A blank invoice for a one-off charge
New invoice opens a blank invoice for one customer. Use it for charges such as an agreed one-off fee or delivery charge that has not been recorded as hours or expenses.
Payment terms and language are prefilled from the customer details or seller defaults. Select a seller profile if needed. Add invoice lines with quantities, unit prices and VAT. You can also add discounts and subheadings.
Advance invoices
New advance invoice creates an invoice to request an advance payment. Once issued, it has its own invoice number and due date. Payments and reminders are handled as for other invoices, but the advance invoice does not reserve time or expense entries for billing.
You can use a paid advance on an invoice draft for the same customer. Open the draft and choose Use advance. The amount used is deducted from the invoice total on a line of its own described as Advance payment applied. Only the unused balance of the advance is available.
Kelomo supports one VAT rate per advance invoice. The deduction line uses the same rate as the advance invoice.
