How Kelomo works

What is the same for everyone in Kelomo – the menu shows only the features in use, the home page gathers what is waiting, and the manager approves the records.

Updated

Kelomo takes care of the everyday of an employment: working time, leave and absences, shifts, travel and expenses, HR matters, projects, sales and invoicing. Every organisation turns on its own parts, so no two companies’ Kelomo look the same. This page tells you what is the same for everyone.

You only see what your organisation uses

The main menu is built from two things: your role and the features your organisation has turned on.

  • My work is visible to everyone – your home page and your own matters.
  • Team and Approvals are visible to managers.
  • Company is visible to those with organisation-wide rights.
  • Settings at the foot of the menu is visible to the admin and payroll.

If something does not appear in your menu, it has not been turned on or it is not part of your role – nothing is missing and nothing is broken. See Roles and permissions.

The home page gathers what is waiting for you

You do not need to tour the menu looking for things to do. Everything that waits for you personally – an unconfirmed work day, an announcement waiting for acknowledgement, for a manager the team’s approvals – rises onto the home page’s Needs attention list, and clicking a row takes you where the matter is handled. See The home page.

You record, your manager approves

The same flow repeats in everything recorded in Kelomo. You record or request something – a work day, an absence, a travel claim. Your manager approves it or returns it to you with a reason. Approved data moves on: to payroll, onto an invoice or into the reports. The manager handles everything in one view, Approvals.

Until approval the matter is in your hands: a draft can be edited and a request can be withdrawn. After approval, a correction is made by asking the manager to return the matter. The full flow of working-time recording: How working-time recording works.

Your records are kept

Approved data does not disappear and does not change unnoticed – every later correction stays visible. Working-time records are the employer’s statutory bookkeeping, and Kelomo keeps them accordingly. See What data Kelomo collects.

If something goes wrong

A section or page is missing from the menu. Your role does not cover it, or the feature has not been turned on. Ask your admin.

I don’t know where to start. As an employee it is enough to follow the home page: it tells you what is expected of you. As an admin, start with Onboarding for administrators.
