Set up the punch clock

Punch clock usage, the fields the clock asks for, location capture, sites and punch reasons. Rounding and grace time are set on the shift type.

A punch is an immutable event from which the day’s working time is derived. The Working Hours Act, section 32, requires the employer to keep working time records, and punches accumulate as that material without the employee writing clock times by hand.

Setting it up involves two decisions: how binding punching is, and what the clock asks for.

Configure the punch-clock settings

Open SettingsPunch clockPunch-clock settings.

  1. Punch clock usage: Off / Optional / Primary / Required. If you choose Off, the other fields are hidden.
  2. Default punch entry type.
  3. What the clock asks for – five rows: work type, target, billable, note and clock-out reason. Each is Not asked, Asked or Required. Every question adds one more tap to every punch. If all of them are Not asked, punching is a single tap for the employee.
  4. Location capture: Not stored / Work site / Geofence (at site or not) / Coordinates. If you choose the work site or geofence, you need punch points – see Sites below.
  5. When location is in use, Location required, Information text for the employee (fi/sv/en) and Location retention (days) appear. Choosing coordinates shows an impact assessment warning.

A punch always turns the day into an editable draft: the employee reviews the day, corrects it if needed and confirms it as usual. The original punch stream stays unchanged alongside the day.

Add sites

Configure the punch reasons

SettingsPunch clockPunch reasons. Each reason has exactly one effect: Day complete, Break (paid or unpaid), Absence (day type) or Entry type. Reasons are only asked once the clock-out reason in step 3 has been set to asked or required.

Deviate by staff group

The role, location capture and all five questions can be set per staff group – the office and the building site do not have to share the same rules. The information text and the retention period are always shared across the whole organisation.

Rounding, grace time and the automatic close of an open punch are not in the punch-clock settings. They are working time rules, so they are set on the shift type: SettingsWork time & rulesShift types → the Punch section. The fields are Punch rounding, Grace at start (min), Grace at end (min) and Open-punch auto-close. See Shift types.

Rounding and grace time only affect the day’s start and end times. The original punch stream stays minute-accurate. The default 0 means no rounding is done.

If something goes wrong

The clock is not visible to employees. Check Punch clock usageOff hides the clock entirely. Also check that no staff-group deviation applies to this particular group.

A punch is rejected at a genuine workplace. The site needs Latitude, Longitude and Radius (metres) values, and too small a radius rejects the punch. If Location required is on, punching from outside the radius is not possible at all.

Rounding has no effect. The default 0 shapes nothing, and the setting lives on the shift type – not in the punch-clock settings.

You are looking for the presence board. Clocked in now is a separate feature switched on in the Features settings. It never shows coordinates.
