Subscription, licenses and modules

The Subscription page decides what you buy, the Licenses page who the add-ons belong to, and the Features page which features appear in the menus.

The subscription is managed on three pages. SettingsBilling & agreementsSubscription decides what you buy and how many licenses. The same group’s Licenses page assigns the add-ons to users. SettingsOrganisationFeatures, in turn, decides which features appear in the menus at all.

Subscription

The Subscription breakdown card lists the base product (Time tracking) and the add-on rows. The license count is changed with each row’s plus and minus buttons, and the monthly total updates immediately.

  1. Adjust the counts and press Review and confirm (the first time, Subscribe).
  2. The confirmation dialog shows the changed licenses and the current and new monthly price. The change takes effect immediately; a prorated charge or credit appears on your next invoice.
  3. Press Confirm.

The Payment method and invoices → link opens the payment portal, where the payment method and invoice history are managed. The same page also manages SMS credits: text-message announcements consume prepaid credit.

If you reduce licenses below the assigned count, the dialog warns you: free licenses on the Licenses page, or some users lose access.

The Own invoicing settings page is a different thing: it concerns the invoices you send to your own customers – see Create and send an invoice.

The trial

A new workspace starts with a 30-day trial, during which every module is on with no license limits. When the trial ends, full use continues for another seven days, after which the account turns read-only: the data stays and stays readable, but new entries can no longer be saved. Subscribing restores full use.

Licenses

  • The base product is included for every active user – it is not assigned separately.
  • An add-on license (Shift planning, Travel & expenses, HR, Project management) is per user: buy the count on the Subscription page and assign the licenses with checkboxes in the user × license matrix. CRM and sales is included in the Project management module.
  • A license can also be granted to a staff group, in which case it covers all the group’s members. A license that comes via a group shows as “group” in the matrix and is removed in the group table, not per person.
  • Without a license, the feature is hidden from the user.
  • Deactivating a user’s account on the People page frees all of their licenses.

Features – modules on and off

Every module card has a Turn on or Turn off button. Time tracking is always on. An active module’s card also carries a Configure link to the module’s own settings, and a collapsed Optional features section where the module’s individual features are switched on and off with the same logic.

Turning off is a visibility switch, not a deletion. The module is hidden from the menus for everyone – including admins – but the data is kept, and you can turn the module back on at any time. Turning off always asks for a confirmation.

If a module is not in your plan, the card says Not in plan and the Add to plan button leads to the Subscription page. The switch never buys anything – purchases always happen on the Subscription page.

If something goes wrong

A whole section is missing from the menu. The module or an optional feature is turned off. Turn it on: SettingsFeatures.

Ticking a checkbox gives “Out of licenses”. As many licenses are already assigned as purchased. Buy more on the Subscription page or free up a license.

A user cannot see an add-on even though the module is on. For the module to show, both the activation and a per-user license are needed. Check on the Licenses page that the person has a checkmark.

The account is read-only. The trial has ended or a payment has lapsed. Open the Subscription page and subscribe or update the payment method – the data is still there.
