A tracking level is the axis hours, expenses and trips are followed on: a cost centre, a department, a service, or a set of projects that lives in another system. A tracking target is a single value on that level, for example cost centre 100 Administration. Every record is allocated to a target, and the allocation report sums the hours per target.
Levels and targets live under Settings → Projects → Tracking levels. The level’s name opens its own targets.
Projects are a level of their own
Project tracking is a fixed level whose targets come from the project register. A project is added on the Projects page and appears on the level at once. The other levels are yours: name them, order them and take them out of use.
Add targets
A single target is created with Add target: give it a code and a name. The code is what the payroll material, the accounting transfer and the API identify the target by, so keep it unchanged. Add child target in the row menu places the new target under the selected one — a department’s teams, for instance.
A larger set comes from a file: choose Import from file in the level’s action menu. The columns are code, name, parent, source, identifier and active. See Importing data.
Targets from another system
When the targets live in another system, they are kept current with automation: Zapier and Power Automate create and update them under the same identifier the source knows them by. The same goes for customers, projects and tasks. See API and integrations.
Allocation when recording
In the register you choose, per level, whether the target is asked when recording or filled from the person’s default target. A level that is asked and marked mandatory holds the day’s confirmation open until the allocation is given; on a level that is filled in, a missing target shows as a note in the approver’s queue.
When a target is no longer used
Take the target out of use from the row menu. It leaves the recording pickers, and the hours already booked on it stay in the reports. A target can be deleted outright only while nothing is allocated to it.
