SMS credits

Text messages are paid for with prepaid SMS credits – what spends the balance, how the warning threshold works, what happens when the balance runs out and how to top it up.

Updated

Text messages sent by Kelomo are paid for with prepaid SMS credits. The organisation has one balance, and every text message spends from it. Open Settings → Administration and security → SMS credits. The page belongs to the administrator.

The page shows the Current balance, Buy credits, the Consumption history and the settings under Warning threshold and notifications.

What spends credits

One credit is one message part to one recipient. A message part holds 160 characters. If the text contains a special character outside the basic SMS character set, a part holds 70 characters. A longer message is split into parts.

Credits are spent by:

  • Announcements when the Text message (SMS) channel is chosen, resends included. See Create and publish an announcement.
  • Critical notifications by SMS when the setting is on. A text message goes only to a person who has a phone number but neither an e-mail address nor push notifications in the app. This covers notifications about a published or changed shift, a withdrawn shift plan, an absence decision, a reply to a service request, shifts left without a worker because of an absence, and a field-service visit. The text message only says what happened and points to Kelomo.
  • Field-service customer messages when customer messaging is on. The message goes to the customer as a text message if their phone number is known.

When the balance is not enough

The balance never goes negative: a text message is sent only if the balance covers it.

  • Announcement: the send form shows under Estimated cost how many credits the send takes. If the estimate exceeds the balance, the form warns you. The announcement is saved and goes out on the other channels, but text messages stop once the credits run out. The remaining recipients get no text message and show as skipped in the deliveries. Once the balance is topped up, Resend failed sends them.
  • A critical notification goes without a text message. It can still be read in Kelomo.
  • A customer message goes by e-mail if the customer’s e-mail address is known.

If the operator rejects a message or reports that it could not be delivered, the message’s credits are returned to the balance.

Warning threshold

The SMS-credit warning threshold says when the balance is low. When a send takes the balance below the threshold, Kelomo sends the notification “SMS credits low” to administrators, HR, payroll and anyone else allowed to send announcements. The notification comes once; the next comes only after the balance has risen above the threshold and falls below it again. Credits low also shows beside the balance. A value of 0 means no warning.

Buy credits

  1. Under Buy credits, choose a credit bundle. The list shows the bundle’s name, number of credits and price.
  2. Choose Buy more. You go on to the payment page.
  3. After payment you return to the SMS credits page. The credits are added to the balance shortly.

If no bundle can be bought yourself, contact Kelomo support and the credits will be added to your balance.

Consumption history

The Consumption history lists every change to the balance, newest first: Credit top-up, Text message send, Refund and Adjustment. A row shows the time and the number of credits; a purchase row also shows the price. Older rows appear with Show more.

People who send announcements see the same balance and history through the SMS credits button on the Announcements page.
