The organisation's structures

Basics, employers, units, staff groups, duties, skills, tracking dimensions and the holiday calendar – what each structure affects.

Updated

The settings define the structures the rest of the system rests on. This index tells what each one affects – the details live in each page’s own help texts.

Organisation details

The name and the time zone, which new working-time models inherit, and the punch clock usage: off, optional, primary or required.

Employers

Add an employer only if the organisation has several legal employers (a group of companies). The employer’s details show on documents and in the payroll export, and an employment is always tied to one employer.

Planning units

The objects shifts and staffing demand attach to – a department, a store, a site. Units can nest, and the Unit planners section sets who may plan a unit’s shifts. The unit also scopes reports and the capacity forecast.

Staff groups

A free-form grouping – for example hourly staff and salaried staff – used to scope reports, the payroll export, leave groups and bulk actions. A group can also carry its own planning rules (for example shorter shifts for students) – see Planning rules and automation weights.

Duties and skills

  • Shift roles are a shift’s roles (till, kitchen, floor) – staffing demand can require a position.
  • Skills and qualifications are a person’s lasting attributes with validity periods (safety card, hot work permit). Shift planning uses them in staffing demand, and an expiring qualification rises into the HR worklist. The Finnish standard qualifications can be imported into the catalogue with one action, and the skill matrix shows who has what.

Tracking dimensions

The entries’ tracking axes (cost centre, customer, work type…), whose values can nest. When Asked when recording is ticked for a dimension, it is asked while recording; otherwise it is filled from the person’s default.

An asked dimension marked Required blocks the day’s confirmation when a row counting as working time is left without a value; the entry picker marks the dimension Required. A dimension that is filled automatically does not block confirmation — the gap surfaces as a notice in the approver’s queue. The allocation report totals hours by value.

The holiday calendar

Finland’s or Sweden’s holidays and eves by year: each row shows the work classification, the effect on the day’s target and the public holiday compensation. The calendar affects target calculation and supplements, so it is worth checking before the turn of the year.
