The whistleblowing channel lets you report suspected misconduct at your workplace anonymously. A report is submitted through a public link without signing in, and the handling is followed with a tracking link. If your employer has taken the channel into use, you will find the link on the intranet, for example.
Submit a report
- Open the link your employer has shared. The page shows which organisation’s channel it is.
- Fill in Topic (optional) if you wish and describe what you observed in the Report field (at least 10 characters).
- Press Send report.
- Attach evidence right after sending (up to 3 files, JPG/PNG/HEIC/PDF, max 10 MB each) – attachments cannot be added later from the tracking page.
The form asks for no name or contact details.
Save your tracking link
After sending you will see Your tracking link. Save it with Copy link.
The tracking link is shown only once and cannot be recovered. Kelomo stores only a hash of the link’s key, so a lost link cannot be restored by anyone – not even the employer.
Follow the handling
The tracking page shows the report’s status – Received, Acknowledged, In progress, Resolved or No action – and the messages. You can add to your report in the Add to your report field and press Send message. This works while the case is open and for 30 days after it is resolved. The handler’s messages are labelled only Handler – neither party sees the other’s identity.
How anonymity is implemented
- The report stores no reporter identity, and the form does not ask for one. Submitting requires no sign-in.
- Submitting or adding to a report writes no event record that could be linked to a user. Handler actions, by contrast, are logged.
- The tracking link’s key is stored only as a hash, so it cannot be read from the system afterwards.
Kelomo is a tool for receiving and handling reports – meeting the obligations of whistleblower protection remains the employer’s responsibility.
For the handler: the channel and processing
Reports are handled in People → Whistleblowing. It is visible to the administrator and HR, and the area belongs to the HR add-on.
- The administrator opens the channel from the Channel card: Enable creates the public form link. Share the link on the intranet, for example. Rotate link invalidates the old one, and Disable closes the form.
- The report queue shows the status, topic and deadlines. Kelomo sets each report an acknowledgment deadline of 7 days and a response deadline of 3 months, and flags late ones (Acknowledgment overdue, Response overdue).
- Open a report: reply to the reporter (Reply to the reporter → Send reply), update the Status, assign the Handler and write Internal notes, visible only to handlers. Export PDF produces a case summary.
The first handling action marks the report acknowledged. The statuses Resolved and No action are final – a closed report cannot be reopened. Resolved reports are deleted automatically once the retention period ends (default 2 years, adjustable in HR settings).
If something goes wrong
The link is not valid. The channel link has been rotated or the channel disabled. Ask your employer for a fresh link.
You lost the tracking link. It cannot be recovered. You can submit a new report and refer to the earlier one.
You can no longer add messages. The report has been closed. If something remains, submit a new report.
You cannot find the handling view. People → Whistleblowing is shown only to the administrator and HR, and an administrator must first enable the area under Settings → Features.
