Open People and press New person. If you are moving several people at once, use the CSV import – the template file is in the import view.
Complete the employment details
The person’s card records the employment basics: job title, unit, supervisor, start date and working-time model. The working-time model decides how the person’s workdays are suggested and how balances accrue.
Employment details are versioned: a later change – for example a title change or a collective-agreement raise – starts as a new version from the chosen date, and the old periods stay untouched.
Invite as a user
Send an activation invite to the person’s e-mail. The invitee takes the account into use themselves, and no passwords need to be passed around. The mobile app works with the same credentials.
Start the onboarding process
Onboarding is a process started from the person’s page or from People → Onboarding: choose the person, a template and a target date. The template brings ready-made tasks; the process can also start blank with tasks added by hand.
- Every task has an owner – the supervisor, IT, HR or the employee – as a role or a named person, and a due date relative to the target date.
- The employee can be given a mentor in the Mentor field.
- Tasks are handled in the task centre; the employee sees their own under Onboarding tasks. Overdue ones show on the process row and in the HR worklist.
Process templates are managed by the administrator; the default templates can be created with one action and edited into your own.
The statutory statement of the principal terms of work is generated from the employment details as a PDF document archived on the person.
The offboarding process
When the employment ends, Start offboarding in the same view starts the offboarding process with its own template – closing accounts, returning equipment and the work certificate as tasks with owners. Recording the end itself is described in Ending employment.
