Days missing from payroll export

Check approvals, existing batches, employee filters and missing details before creating a payroll export.

Updated

Open Organisation → Payroll data and check the period and pre-export messages. Creating a batch and delivering it to the payroll system are separate steps.

A day is waiting for confirmation or approval

Only approved days are included. The employee’s confirmation alone is not enough. Check for missing confirmations and pending approvals.

You can create a batch from ready days while other days in the period remain incomplete. The incomplete days are not included in that batch. See Approve your team’s working time.

A day already belongs to an earlier batch

A day already assigned to an export batch is not added to a normal new batch, even if the dates overlap. Check earlier batches and their delivery status: inclusion in a batch does not mean the payroll system has received it.

If a day was corrected after export, the original batch remains unchanged. How the correction can be exported depends on the destination. Do not resend the old batch assuming it will correct the records.

A day from an earlier period is missing

Check the option to include unexported days from earlier periods. A day completed late is not automatically included just because the earlier payroll period was closed.

An employee or pay code is missing

Check the batch’s date range and staff group, as well as the destination’s employee filters. Make sure the employee has the identifier required by the destination.

Missing pay-code mappings or calculation errors can prevent batch creation or delivery. Complete the details named in the message and check again. Not every issue can be overridden with a reason; a missing employee identifier, for example, must be supplied.

If Kelomo offers to continue despite missing information, first check the effect: some data may be omitted. Providing a reason does not fill in missing data.

Totals or delivery results look wrong

Compare the batch breakdown with the workdays and payroll preview. The batch calculation is retained, but the delivered file can change if, for example, the destination’s pay-code mappings change.

Check receipt in the destination system before resending. A partially successful delivery may already contain received rows, and sending again can create duplicates.

For destination-specific instructions and corrections, see Export payroll data.
