The invoice did not reach the customer

Check whether the invoice was issued, verify recipient details and review delivery before sending again.

Updated

Open the invoice’s Delivery section. Check the channel, recipient and result of the latest attempt. Issuing an invoice and delivering it to the customer are separate steps.

You cannot issue or send the invoice

Check the invoice status and your permissions. Permission to prepare invoices does not necessarily include issuing, sending or crediting them. An administrator can check your invoicing permissions.

Review any blockers in the invoice checklist. Missing seller details, invoice lines or tax details may prevent issue. Follow the links in the checklist to complete the information.

Recipient details are missing

E-invoices require the customer’s e-invoice address and operator code. Check these in the customer register and the invoice’s delivery details.

For email, check the invoice contact’s address, the customer’s billing email and the recipient selected for sending. The customer’s general email address is not necessarily the invoice recipient.

If e-invoicing is unavailable, agree an alternative with the customer. Do not switch to email assuming it suits their invoice processing.

Delivery is pending or failed

The operator may not respond immediately. If delivery is still being processed or the connection was interrupted, check the latest status before sending again. A delay alone does not mean the invoice was not sent.

If delivery was rejected, read the reason, correct the details and resend the same invoice. Its number stays the same. Do not create another invoice for the same amount owed just to resolve a delivery error.

Also check the seller’s e-invoice connection and any test mode. If Kelomo reports a test or a suppressed delivery, the actual invoice has not reached the customer through that attempt.

The invoice is marked as manually delivered

Manual delivery records the delivery without Kelomo sending the invoice. Make sure it was delivered to the customer as agreed.

The customer received the wrong invoice

Recipient or delivery errors are different from errors in the invoice content. Resending does not change an issued invoice’s lines.

If the amount or content is wrong, use a credit note and create a new invoice if needed. See Create a credit note.

For the full sending instructions, see Create and send an invoice.
